We put the six questions a freelancer types when shopping for invoicing software to ChatGPT, Gemini and Perplexity: "best invoicing software for freelancers," "best invoicing software for freelancers for small teams," "what invoicing software for freelancers should I use," "best free invoicing software for freelancers," "most affordable invoicing software for freelancers" and "invoicing software for freelancers recommendations." All six came back with a readable answer, no refusals and no retrieval failures. Wave Invoicing and Zoho Invoice each landed in 5 of 6, one mention short of the sweep. The three assistants agreed with each other far more than they diverged, so a freelancer gets essentially the same shortlist from any of them, and the whole result traces back to a source list of just 14 domains.

The shortlist shifted as the question changed

The top four held no matter how we phrased the question. Bonsai, FreshBooks, HoneyBook and Square Invoices each appeared in all six answers, so a freelancer meets those names whether they ask for "best," "free," "most affordable" or "for small teams." Across the six answers the assistants named 15 distinct products in total (counting "Wave" and "Wave Invoicing" separately), so that sweep of four sits on top of a short field.

Zoho Invoice was named in 5 of 6, missing only "best invoicing software for freelancers for small teams." Wave Invoicing also landed in 5 of 6, with a labelling wrinkle worth keeping: the assistants wrote "Wave Invoicing" five times and plain "Wave" once. We read those as one product, which would put its real coverage at six, but the assistants did not spell the name consistently, so the table holds Wave Invoicing at 5 of 6 and leaves the lone "Wave" as its own line.

After the top six the field drops off sharply. The next product down, Invoice Ninja, was named in 3 of 6, showing up for the plain "best" question, "for small teams" and "best free," and absent from the other three. Two domains fed every answer

nerdwallet.com and reddit.com were each cited in 6 of 6 answers. The next tier is jobbers.io, thewritelife.com and zoho.com, each feeding 5 of 6. invoiceninja.com and waveapps.com fed 4 apiece. Then arc.dev and youtube.com at 3, aspireapp.com and helcim.com at 2, and mercury.com, squareup.com and zapier.com once each. That is the whole supply chain: 14 domains shaped every answer, and two of them touched all of it.

The mix leans one way. The roundup sites (nerdwallet.com, jobbers.io, thewritelife.com, arc.dev) publish freelancer guides built to rank in search, and reddit.com supplies raw user opinion from threads like r/freelance. Reddit fed all six answers, but Quora never appeared, and neither did G2 or Capterra. The software review marketplaces that dominate enterprise buying are absent, because the assistants seem to treat freelancer invoicing as a consumer purchase rather than business software. A strong profile on G2 or Capterra does nothing for you here, since those pages never entered an answer.

What stands out is how many vendor-owned domains made the cut. zoho.com fed 5 answers, waveapps.com fed 4 and invoiceninja.com fed 4, and all three are the product websites of the tools they helped name. The assistants cited a company's own landing page as a source and then recommended that company, drawing no line between a reviewer's evaluation and a vendor's marketing copy. It shows in the counts. Invoice Ninja's three appearances all drew on invoiceninja.com, and the three answers that dropped Invoice Ninja carried no invoiceninja.com in their sources. Zoho Invoice's one miss, "for small teams," was the single question whose sources (reddit.com, nerdwallet.com, waveapps.com, arc.dev, invoiceninja.com, thewritelife.com, mercury.com and youtube.com) did not include zoho.com, and it is the same question that put mercury.com and Mercury's free invoice generator into an answer exactly once. A vendor with clear, query-matching copy on its own site can do part of the recommending itself, without waiting for a review page to include it.

What gets a product named here

The source list, not market share, decides who appears. QuickBooks, one of the largest names in the category, was named zero times, because none of these 14 domains surfaced it for these six questions. Size is not the qualifier. Presence on the page the assistant reads is.

That makes the route in specific rather than vague. NerdWallet is a pitch to an editor, or a wait until your product is established enough to be collected into a roundup. Reddit cannot be bought: the threads that rank for these queries are written by people who already use the tools, so appearing there means real users naming you when someone asks. A clear product page helps too, since the assistants will cite zoho.com and invoiceninja.com directly. However you get there, the spot is rented, not owned. Bonsai looks entrenched, but its 6 of 6 rests on those two dominant domains continuing to mention it, and Wave Invoicing and Zoho Invoice sit one roundup refresh from slipping below 5 of 6.
